new teacher, new staff, employee, volunteer, caretaker, hourly rate, next of kin, staff leaving
Everyone the madressah employs, teachers or not, goes in one staff list. Here’s what their record holds.
Updated 5 October 2026
Start a new staff member
Section titled “Start a new staff member”Go to Staff and press Create.
Fill in the record
Section titled “Fill in the record”The form has five parts:
- Staff details: their title, first and last name and date of birth, and, if they teach, what they teach under Specialisation.
- Contact: their email address and phone number.
- Address: their home address.
- Next of kin: who to ring if they are taken ill or hurt at the madressah. This is about the staff member, not about any child.
- Employment: their Position (such as Senior Teacher or Office Administrator), Employment type, Start date and, if you use them, an Employee number, End date and Hourly rate.
Press Create staff member.
Give them a login, if they need one
Section titled “Give them a login, if they need one”A new record can’t sign in yet. If they’ll use the app, create a login on their record: see Staff logins and administrators. A caretaker who never uses the app doesn’t need one.
Volunteers
Section titled “Volunteers”Choose Volunteer as the employment type and the hourly rate is cleared and switched off: volunteers are unpaid, so no rate is recorded. Their hours still count on the timesheets, and the payroll board shows them as Unpaid.
Who can see what
Section titled “Who can see what”Their address, date of birth, next of kin, employee number and pay are seen by administrators only. Other staff can be shown their name, position, email address and phone number.
When someone leaves
Section titled “When someone leaves”Open their record and press Deactivate. Their record, registers and timesheet are kept, and their login stops working until they’re made active again. Add an End date too, so their record says when they left.
