Removing someone’s details

Stop someone signing in, mark them as having left, or have their details removed for good.

Stop them signing in
Section titled “Stop them signing in”For someone who should no longer use the app but is still part of the madressah:
- Staff: on their record, press Revoke login under Login. Their record, registers and timesheet stay.
- Parents: on the guardian’s record, press Disable Portal login. Their record, their children’s links and all the history stay.
Either can be undone: create a new staff login, or press Reactivate Portal login.
Mark them as having left
Section titled “Mark them as having left”For a pupil, family or member of staff who has left: press Deactivate on their record. The record is kept, marked inactive, so your registers, timesheets and history still make sense. A deactivated member of staff can no longer sign in, and a deactivated guardian can’t be given a parent login.
This is the usual choice when someone leaves.
Remove their details for good
Section titled “Remove their details for good”When a family or member of staff asks for their details to be deleted, or your madressah’s own rules say it’s time, their record can be anonymised. For a pupil, this removes:
- their name and date of birth;
- every note on their register marks, progress records and absence reports, including what their family wrote;
- every earlier version of all of these, so nothing can be recovered.
Their marks stay, without a name, so registers and totals still add up. It can’t be undone.
There’s no button for this in the app yet. To have someone anonymised, email info@madrasaty.co.uk from your administrator account, saying who and why, and we’ll do it for you and confirm when it’s done.
A copy of someone’s information
Section titled “A copy of someone’s information”If a parent or member of staff asks for a copy of what the madressah holds about them, email info@madrasaty.co.uk. There’s no export button for one person yet; we’ll prepare it and send it to the madressah, not to the person who asked, so that you can check it before passing it on.
